I would separate the storage calculation into three components: payload data,
metadata, and timestamps/system overhead.

First, I’d calculate the size of the actual business payload—for example, the
document, message, record, or transaction being stored.

Then I’d account for metadata such as record IDs, object type, tenant
information, ownership, status, indexes, tags, permissions, and audit
information. I wouldn’t assume metadata is negligible because at high volumes it
can become a meaningful percentage of total storage.

Finally, I’d factor in timestamps—created time, updated time, event time,
retention or expiration information, and potentially multiple historical
timestamps. The timestamp itself may only be a few bytes logically, but
depending on the database representation and indexing, it can create additional
storage overhead.

So, conceptually:

Total storage = payload + metadata + indexing/system overhead +
timestamp-related storage.

From a PM perspective, I would avoid prematurely assuming an exact percentage
for metadata. I’d first understand the underlying storage technology and data
model, because a relational database, document store, or object storage system
will have very different overheads.

For capacity planning, I’d also look at this on a per-record basis and then
multiply it by expected volume and retention period. I’d include growth
assumptions and replication/backups separately, because those don’t represent
the logical size of the customer data but absolutely affect infrastructure
capacity and cost.

The key is to distinguish logical storage consumed by the product from physical
storage required to operate it reliably.
